We receive the following information in person, by post, via the website or direct to Enquiries@GrossmithLondon.com and ‘process’ it by responding, corresponding and storing this correspondence:


1. Applications for employment

These may be sent speculatively, including CVs. If we are not recruiting we may ask for consent to keep applications on file in case an appropriate opportunity arises for a period of up to three years after which these are securely deleted.


2. Other enquiries

In general we keep correspondence relating to our current products as long as necessary to conclude a matter.
If there is no legitimate interest basis for the retention of this correspondence there is a time limit of three years once communication has ended for retention of these enquirers’ contact details and the associated correspondence after which they are securely deleted.
We retain correspondence relating to Grossmith heritage (products or personal connections with the business - e.g. parent/grandparent was former employee).
These people’s data form part of the Grossmith archive (virtual and physical) and we may wish to get in touch with them after a number of years. No time limit will be set on the storage of these people’s data. In general we do not and will not share this data with anyone outside Grossmith. If we do decide to share some of the information on social media we will either anonymise the information or request consent, as appropriate.
Enquiries via social media will if necessary be redirected to Enquiries@GrossmithLondon.com to ensure secure storage and systematic processing on the bases above.

 

3. Requests to purchase Grossmith products

We keep delivery addresses and contact details for up to three years after which they are securely deleted. We never access any payment details - all online transactions are handled either by Stripe or Paypal. Please refer to their privacy policy to learn how they process and protect your payment details.


4. Business cards given to us by people we meet at trade fairs and elsewhere.

We infer consent to get in touch with these people and set no time limit on this.


We will inform and obtain consent as and when appropriate from/for
We will seek consent from applicants for us to keep their CVs for a fixed period on the understanding that we will delete the data up to three years after the last correspondence.
We will inform enquirers and purchasers of products if they buy something direct from us that we will process and store their delivery addresses and contact details and that we will delete this personal data after up to three years after the last correspondence.
We will inform ‘heritage’ enquirers for Grossmith that we will keep the correspondence in our archive.


We look after this information
We store most information electronically and it is password protected. Paper correspondence is securely filed.
With the exception of delivery addresses and contact details for deliveries we do not share this information.


We share some of this information
We share delivery addresses and contact details of customers with our logistics warehouse. We ensure that our logistics warehouse and the couriers they use also keeps this data safely and delete this data when it is no longer needed.
